8.2.2.4 Maintenance

POLICY

Maintenance of all university - owned vehicles is the responsibility of Transportation Services. Departments must issue a standing Internal Requisition and Inter-Account Bill (IRB), form 108A, to Transportation Services for maintenance. The Motor Transport Division of the State of Michigan has adopted these standards which Transportation Services will follow:

Maintenance Schedule

All Trucks, Vans and

Mini-Buses

15,000 miles

Failure to bring vehicle in for service may result in suspension of future vehicle use.

PROCEDURE

  1. Report odometer reading to Transportation Services on the first of every month.

Transportation Services

  1. Keep all mileage/maintenance records.

  2. Advise department when routine maintenance is required.

Department

  1. Issue a standing IRB for maintenance and repairs.

  2. Bring vehicle to Transportation Services for service.

  3. If a loaner vehicle is needed, bring a completed Vehicle Request, form 505.

Transportation Services

  1. Have maintenance performed.

  2. Notify department when vehicle is ready to be picked up.

  3. Pay vendor's invoice.

  4. Bill against department's Internal Requisition and Inter-Account Bill (IRB), form 108A.
