01-6 Publication and Use of Alumni Directories (Second Release)

1.0  Purpose

1.1     The following University Policy governs publication of alumni directories and use of alumni information contained in them.

2.0  Inclusions

2.1     This policy applies to all individuals, groups, organizations, departments and other entities within and external to Wayne State University.

2.2     Oversight of this policy is the responsibility of the Vice President for Development and Alumni Affairs or his/her designee.

3.0  Publication Of Official Alumni Directories

3.1     From time to time, Wayne State University or schools or colleges within Wayne State University may elect to publish directories to facilitate personal communication among alumni.

3.2     Before publishing any alumni directory, the University shall make reasonable efforts to afford each person who would be included an opportunity not to be listed in a directory.

3.3     Except upon written approval of the Vice President of Development and Alumni Affairs or his/her designee, Wayne State University shall own all rights, including copyright, in any alumni directory published by Wayne State University or by a school or college of Wayne State University.

3.4     Except upon written approval of the Vice President of Development and Alumni Affairs or his/her designee, any agreement for the publication of an alumni directory shall provide that on or before publication, all mailing lists and all copies thereof provided by Wayne State University, for creation or distribution of such a directory, and all mailing lists or other personally identifiable information and all copies thereof developed from mailing lists provided by Wayne State University for creation or distribution of such a directory, shall be returned or destroyed.

3.5      Directories must carry in print the following statement:

“No part of this directory may be reproduced, stored in a retrievable system, or transmitted in any form or by any means, electronic, mechanical, photocopying or otherwise, without the prior written permission of the Vice President of Development and Alumni Affairs  or his/her designee.”

4.0  Permission To Publish Official Alumni Directories

4.1     Permission to publish official alumni directories must be secured from the Vice President of Development and Alumni Affairs or his/her designee.

5.0  Duration

5.1      This delegation is revocable by the president at any time and without notice.

5.2      This University Policy supersedes University Policy 01-6, First Release.

6.0  Effective Date

6.1       This University Policy is effective upon issuance.
